IgniteHQ provides secure client portal and document workflow software for financial advisory firms. This Privacy Policy explains how IgniteHQ collects, uses, stores, and protects information when advisors, firms, clients, and invited users use the IgniteHQ platform.

Information we collect

We may collect information you provide directly, including name, email address, phone number, firm name, household information, profile details, planning information, onboarding responses, and documents uploaded to the Secure Vault.

Depending on how a firm uses IgniteHQ, uploaded documents may include sensitive financial information, tax returns, account statements, account numbers, estate documents, insurance documents, and other non-public personal information.

We may also collect account and security information, including login activity, trusted-device records, verification events, IP address, browser/device details, and audit logs.

How we use information

IgniteHQ uses information to provide and secure the platform, including to:

Create and manage advisor, firm, household, and client accounts.

Send client invitations and account-related messages.

Support onboarding, profile setup, planning workflows, and Secure Vault storage.

Authenticate users and protect accounts with verification and trusted-device controls.

Maintain audit logs and investigate suspicious or unauthorized activity.

Provide customer support and troubleshoot platform issues.

Comply with legal, regulatory, contractual, and security obligations.

How we share information

IgniteHQ does not sell client personal information.

We may share information only as needed to provide and operate the platform, including with authorized users connected to the relevant firm, household, or client relationship; trusted service providers that help us host, secure, send, store, or support the platform; legal or regulatory authorities when required; or another party in connection with a business transaction, subject to appropriate protections.

Service providers

IgniteHQ uses service providers including Supabase, Vercel, Resend, and Twilio Verify. These providers help us operate database, authentication, storage, hosting, email delivery, and text-message verification services.

Security

IgniteHQ uses administrative, technical, and organizational safeguards designed to protect personal information. These include authentication controls, text-message verification, private storage, role-based access permissions, encrypted connections, vendor security review, and audit logging.

No system can guarantee absolute security, but IgniteHQ is designed to reduce risk and protect advisor and client information with reasonable safeguards appropriate for sensitive financial planning data.

Data retention

IgniteHQ retains information for as long as needed to provide the platform, support firm and client workflows, comply with legal or contractual obligations, resolve disputes, maintain backups, and protect platform security.

When information is deleted, some copies may remain for a limited time in backups, logs, or records required for security, compliance, or legal purposes.

Your choices

Users may update certain account and profile information within IgniteHQ. Firms and authorized users may request correction, export, or deletion of information where available and appropriate. Some information may need to be retained for legal, compliance, audit, security, or operational reasons.

Client relationship

IgniteHQ is a software provider used by financial advisory firms. Your advisory firm may separately collect, use, retain, and disclose information under its own privacy policy, compliance obligations, and client agreements. Please contact your advisory firm with questions about how it uses client information in connection with financial planning or advisory services.

Children’s privacy

IgniteHQ is not intended for children under 13, and we do not knowingly collect personal information from children under 13.

Changes to this policy

We may update this Privacy Policy from time to time. If we make material changes, we will update the date above and may provide additional notice where appropriate.
